Your AI Rolodex is a living system, designed to keep itself up-to-date with minimal effort from you. The most critical part of this is how Klipy handles your day-to-day email conversations.
This article explains the automatic, intelligent process that turns your busy inbox into a clean, summarized history for every contact.
The Process: From a Single Email to a Timeline Event
Unlike Direct Messages, which are grouped by conversation, Klipy processes every single email you send and receive individually. This ensures that no important detail is missed. Here is the step-by-step journey each email takes.
Step 1: Intelligent Filtering
The moment an email is sent or received, Klipy's first job is to determine if it's relevant. Using the same core logic as the historical import (see R1.3), the system automatically filters out and ignores noise, such as:
Spam and promotional newsletters
Automated system notifications
Purely transactional emails
Step 2: Contact Matching and Creation
Next, Klipy checks the sender or recipient against your existing Rolodex.
If the contact already exists: Klipy recognizes the email as part of an ongoing relationship. Because the contact is known, the system applies a slightly less strict filter, understanding that the conversation is less likely to be spam.
If the contact is new: Klipy analyzes the email to see if it represents a "meaningful interaction." If it does, a new contact profile is automatically created in your Rolodex, ensuring your network grows as you communicate.
Step 3: The Context-Aware Summary
This is where Klipy's intelligence truly shines. To generate a summary, the AI looks at two sources of information:
The content of the new email itself.
The context from the most recent interaction already logged for that contact in your Rolodex.
By combining what's being said now with the context of what was said before, Klipy generates a powerful summary.
The goal is to surface key points, highlight any concerns that need to be addressed, and provide a concise yet detailed overview.
This summary is designed to be perfectly clear to anyone who wasn't in the conversation, or for you to quickly recall the context months later.
For the most recent email in a thread, the summary will also provide a high-level overview of the entire thread, so you don't have to read every previous update to get the gist.
A Crucial Note on Your Privacy and Security
Your privacy is paramount.
To protect your information, Klipy does not store the original, full-text content of your emails on its servers.
It only stores the AI-generated summary. If you ever need to view the original message, Klipy fetches that specific email on-demand through a secure API call to your email provider.
This ensures your raw data remains protected. Furthermore, email attachments are never processed or stored by Klipy.
How to View Your Email Interactions
All of this work is organized for you on each contact's timeline.
When you view a contact, you will see a timeline of interactions. For an email thread, the timeline will show the latest summary for that thread, using the email's subject line as the interaction title.
You can click to expand the summary and read the details.
You can also expand the timeline entry itself to see all the previous, individual email summaries from within the same thread, allowing you to trace the entire history of the conversation.
What Isn't Logged?
To ensure clarity, it's important to note what is not currently handled. At the moment, emails where you are on the CC line are not processed by Klipy. The focus is on direct, to/from conversations.
