R1.6: How Klipy Logs and Summarizes Virtual Meetings

While emails form the backbone of communication, the most critical decisions and relationship-building moments often happen in live meetings.

However, trying to be an active participant while also taking detailed notes creates a split focus, diminishing your effectiveness at both.

Supported Platforms

Klipy's AI Meeting Assistant is designed to work with the tools you already use:

  • Calendars: Google Calendar and Microsoft Outlook

  • Video Conferencing: Google Meet, Microsoft Teams, and Zoom

How Klipy Knows Which Meetings to Join

You are in complete control of when the AI Assistant participates. The system uses a simple "set it and forget it" logic combined with granular, per-meeting controls.

1. The "Auto-Join" Setting

In your Settings or Meetings page, you'll find a master toggle for "Auto-join meetings." When this is enabled, Klipy will automatically schedule its assistant to join any upcoming meeting that meets three conditions:

  • You have accepted the calendar invite.

  • The meeting includes at least one external guest (someone outside your organization).

  • The calendar invite contains a valid video conferencing link.

2. Per-Meeting Toggles

For ultimate control, your Home and Meetings pages will display a list of your upcoming events. Each event has a simple toggle next to it, allowing you to manually unschedule the assistant from any specific call you don't need recorded.

The In-Meeting Experience: Full Transparency


An AI assistant in your meetings requires absolute trust and transparency for all participants.

  • How it Appears: The assistant joins the call with a clear, personalized name: "[Your Name]'s Klipy".

  • Chat Notification: Upon joining, it posts a message in the meeting chat for everyone to see: "Hello, I'm here to take notes for [Your Name]."

Letting the Assistant In:

  • If you are the meeting organizer, you simply need to admit the assistant from the waiting room.

  • If you are not the organizer, the host will need to let it in. You may need to ask them to do so.

  • If the assistant is not admitted within 5 minutes, it will automatically leave the waiting room. You can re-invite it from the Klipy interface if needed.

Your Instant Debrief: Summary, Transcript, and Recording

Minutes after your meeting concludes, Klipy processes the data and delivers a multi-layered debrief. This debrief is automatically posted as a "Meeting" interaction on the timeline of every external contact who attended. You'll also receive an email notification the moment it's ready.

The debrief includes:

  • The Smart Summary: An AI-generated executive summary that condenses the entire conversation into its key topics, decisions, and action items. It's perfect for a 60-second refresher or for sharing takeaways with colleagues.

  • The Full Transcript: A word-for-word, searchable record of the entire conversation, complete with speaker labels. This serves as your ground truth for any specific detail or agreement.

  • The Full Recording: Unlike emails, the full video recording and transcript are securely stored by Klipy. This allows for full playback and will enable advanced AI chat features in the future.

How to View Your Meeting Interactions


On a contact's timeline, a meeting is logged with the same title as the calendar event and lists the participants. You can click "See More" to view the summary, or click "View Full Record" to open a detailed view containing the complete summary, the searchable transcript, and the video recording playback.

A Glimpse Ahead: Suggested Actions

Klipy doesn't just record what was said; it understands what needs to be done. The AI also identifies tasks and commitments from the conversation. These to-dos are consolidated from all your interactions—meetings, emails, and more—into a single, unified "Suggested Actions" list on your Home Page, which we'll explore in a future article.
