A clean, duplicate-free Rolodex is essential for maintaining a reliable relationship history. Klipy is designed with a powerful de-duplication system to prevent most duplicates automatically, but also provides a simple tool for you to manually merge any that may arise.
How Klipy Prevents Duplicates Automatically
Klipy's first line of defense is its intelligent, proactive de-duplication. The system uses a person's unique identifiers to recognize them:
Email Address
Phone Number
LinkedIn Account URL
When you or Klipy's AI assistant attempt to create a new contact, the system first checks if a record with that unique information already exists. If it does, Klipy will not create a new, duplicate entry. Instead, it will redirect you to the existing contact profile, ensuring all new interactions are logged in the correct place from the start.
How to Manually Merge Duplicate Contacts
Sometimes, you may end up with two separate records for the same person (for example, one with a personal email and another with a work email). For these cases, you can use the manual merge tool.
Here is the step-by-step process:
Step 1: Navigate to the Duplicate Contact
First, open the contact profile that you want to get rid of (the "source" contact).
Step 2: Initiate the Merge
Click the ...
(three-dot menu) in the top-right corner of the contact's profile. From the dropdown menu, select "Merge duplicate."
Step 3: Select the Primary Contact to Keep
A "Merge duplicate record" window will appear. The current contact is already listed.
In the "Select person" field, search for and select the primary contact record you want to keep (the "target" contact). This is the profile where all information will be consolidated.
Step 4: Confirm the Merge
Once you have selected the target contact, click the "Merge" button to complete the process.
What Happens After You Merge?
The merge action is powerful and designed to preserve your data intelligently:
Interaction History is Combined: All interactions (emails, meetings, notes, DMs) from the source contact are moved to the target contact's timeline. This creates one single, unified history.
Future Interactions are Redirected: As the confirmation screen notes, all future interactions sent to the source contact's email or other identifiers will be automatically redirected and logged under the new, primary profile.
The Old Record Becomes a Hidden Alias: The source contact record is not permanently deleted. It is hidden from your view but remains in the system. This preserves Klipy's de-duplication logic, ensuring that if you receive an email to that old address again, it will correctly find its way to the merged master profile.
